Participants who do not return receivers after an event do that not out of malice, but for practical reasons. They often simply forget to return them - they are in a hurry to catch a train, a plane, or get involved in conversations, causing the world outside the current situation to cease to exist for them.

 

How to effectively track the return of receivers?

 

To minimize the risk of not having equipment returned, it is advisable to implement a participant identification system for the receivers:

  • For smaller events, the participant's contact details are recorded next to the receiver number.
  • For larger conferences, barcode or QR code scanning is used from both the participant's identifier (badge) and the receiver.
    With this solution, the organizer can quickly identify individuals who have not returned the equipment and contact them to recover it.

 

Data protection (GDPR)

 

When registering receivers, it is important to remember data protection. Regardless of whether the data is recorded on paper or exchanged between the participant registration system and the scanning system, all GDPR rules apply.

 

In the event of non-return of the equipment, the person responsible for contacting the participant must act in accordance with data protection regulations.

 

How to remind about returning receivers?

 

An effective solution is to remind participants of the obligation to return the equipment during the event. It is advisable for the presenter or moderator to remind participants at the end of their presentation about the need to return the receivers before leaving the conference area.

 

What to do if a participant cannot return the receiver on-site?

 

The way the participant returns the receiver after the event depends on where the participant is physically at the end of the event:

  • If the participant is still in the building - they can return the receiver at the equipment return point.

  • If they have already left the event area - they usually send the receiver back via courier.

  • In the case of traveling abroad (e.g., by plane), courier shipping costs can be high, so it is advisable to inform participants in advance about the return procedures.

In the case of multi-day events, it sometimes happens that participants do not return receivers after the first day. They often bring them back the next day and return them collectively.

 

Who is responsible for unreturned equipment?

 

The event organizer is responsible for equipment that has not been returned. Therefore, it is wise to anticipate return procedures and potential collection actions during the event planning stage.
